This policy explains what information PTO Fox handles and why. PTO Fox is provided by Aspatuck LLC, a New York limited liability company (“we”, “us”). Questions go to support@ptofox.com.

Who is responsible for what

A company that uses PTO Fox decides what to record about its employees and who may see it; we store and process that information on its behalf. If you are an employee and want to see, correct or delete what your employer keeps about you in PTO Fox, ask your employer first; we will help them do it.

What we collect

  • Account details for people who sign in: name and email address, and sign-in records. These are held by our sign-in provider, Clerk.
  • What a company enters about its employees: names, hire dates, groups and positions, whether they sign in, time off taken and requested, and short notes. An email address is kept only for someone invited to sign in.
  • Technical information our hosting provider records when pages are requested, such as IP addresses and browser type, used for security and keeping the service running.

PTO Fox does not ask for Social Security numbers, pay rates, bank details or medical information, and you should not enter them.

How it is used

Only to provide PTO Fox: to show balances, calendars and requests to the people allowed to see them, and to send the emails the service needs, such as sign-in codes and invitations. We do not sell personal information, show advertising, or use it to profile anyone.

Who else handles it

We use a few providers to run PTO Fox, each only for its part: Clerk (sign-in and the emails it sends), Supabase (the database, in the United States) and Netlify (hosting). We share information with others only if the law requires it.

Cookies

PTO Fox uses only the cookies it needs to keep you signed in. It uses no advertising or analytics cookies today; if that changes, this policy will say so first.

How it is protected

Information travels encrypted, the database is never reachable from a browser, and every request is checked against the company it belongs to, so one company cannot see another’s data.

How long it is kept

For as long as the company uses PTO Fox. A company can ask us to delete its data at any time, and we delete it within 30 days of the request, or of the account being closed; copies in backups expire on their own schedule after that.

Children

PTO Fox is a business tool and is not meant for anyone under 16.

Changes

If we change this policy in a way that matters, we will update the date above and tell company administrators.
